Today we are masters of software; we can make programs do anything. So why is it so hard for an accounting solution to meet some of my basic needs? Modern accounting packages seem to pile on features only to lose sight of some of the basics.

Make it easy to find information – I’m at lunch. Just got a call from a client and I need to look something up. All I have is my smartphone. This should be simple. Accounting systems by their nature, accumulate information. They become the corporate repositories for a lot of data points. You should be able to slice and dice it anyway you want.

Work with the products I already use – Excel has become the monkey wrench of the software world. Don’t have a program for that need? Use Excel. Your accounting solution should work with Excel and Word transparently, not just Cut and Paste (get in the door requirements), but truly as an extension of the application, from reporting to analysis and beyond. And it should be easy; it’s no fun if you need an engineering degree.

Be simple to use, but handle complex business issues – Apple has been the king of the user interface. We control a complex, powerful device (smartphone) with one button. Our software should be just as easy. It should not take five screens to set up a new inventory item. Paying a bill should be as simple as clicking on the Voucher and select Print Check. Accounting software needs to be more intuitive.

Tell me when there is a problem – Why do I have to run a bunch of reports to find an issue? Can’t my system email me when a customer’s receivables are over 60 days old? Or even better, email the customer informing them that their invoices are past due? Every product has pretty dashboards, but a canned dashboard for a generic company just doesn’t help. You should be able to quickly setup a dashboard specific for your needs. A picture worth a 1000 words is only good if it is relevant.
